3 Mobile uses Worktribe to gather briefing requirements in a structured manner and to track these through to delivery.
Delivering Briefing Notes
The first stage provides users with the latest briefing notes. Users select their project type to view the relevant information. As briefing notes change from time to time, the tool uses the Worktribe Documents versioning system to ensure that users are automatically provided with up-to-date instructions.
Data Gathering
Worktribe's intuitive step-by-step wizard guides users through the data gathering process. It collects mandatory information such as the go-live date and delivery location, as well as allowing users to upload multiple document attachments. The focus is to make this process easy for users:
- The process is broken down into managable stages to ensure that users are not overwhelmed
- All data is validated in real-time, ensuring that there is no repetition
- File attachments use Worktribe Documents to provide drag-and-drop upload and download
As different project types have different data gathering requirements, the system dynamically adapts as the user enters their data, following a pre-defined algorithm to present only the relevant screens for each scenario.
Workflow and Tracking
Once all the data is gathered, Worktribe automatically generates a unique reference for the briefing request according to a pre-determined naming convention.
The system then creates workflows to track the requests. Each project type has its own workflow template that defines the routing for the request, the actions required, and an optional delivery schedule. The relevant users are emailed a link to the appropriate page on Worktribe to review the documents and take action on the request.
Worktribe Dashboards show progress at a glance, providing a single screen overview of all active requests for the content delivery team, and also allowing users to track the status of their own requests.
