Worktribe Workflow


Worktribe Workflow streamlines business processes.  It manages defined sequences of actions against schedules and provides intuitive traffic-light dashboards to show status at a glance.

 

For example, a simple workflow process might be initiated by uploading a document to Worktribe and assigning the workflow 'Signoff by Jane'.  Worktribe sends Jane an email requesting her attention on the document, with a link to the appropriate page.  Jane reviews the document online and then uses the 'Sign off', 'Comment' and 'Reject' links to signal her action.  The originator gets a notification email once the requested action has taken place.

 

Once requested, the task appears on the originator's dashboard, showing an amber light while the task is in progress, turning green or black once the document has been signed off or rejected.

 

Actions can be assigned to a schedule, either using fixed dates or critical path.  In this example the workflow could be defined as 'Signoff by Jane by next Thursday', which would show a red light on the originator's dashboard if the task became overdue.  This can trigger an automatic reminder if requested.

 

More complex workflows are often required around regulatory and supply chain procedures:

  • A multi-stage document review workflow might include a first-stage approval by Legal, second-stage approval by Compliance and third-stage approval by Regulatory Affairs.  See our Sara Lee Case Study for an example.

Workflow templates provide default processes for both generic and project-oriented workflow, with varying degrees of customisation to suit particular cases.  The Workflow editor is an intuitive and efficient tool that allows any non-technical administrator to manage the process map in real-time to cope with real-world situations.

 

Dashboards provide summary task management views for users, teams, departments and sites, configurable to different 'views' by user, date etc.  Managers get instant visibility across multiple projects with a single consolidated view.  The critical path is defined for all stakeholders to see - indicating key dates and responsibilites in the cycle.

 

Worktribe Workflow makes it easy to Identify bottlenecks, streamline the flow of documentation, establish best practice, and feed back learning outcomes.  It also indicates exceptions - cases where the process deviates from the plan, allowing feedback on process mapping.
