Worktribe Invoice Automation is a complete document management solution for invoice capture and processing, featuring seamless integration with finance and procurement systems.

Invoice Capture and Processing

Worktribe captures the invoice image from any TWAIN-compliant scanner, optimises and cleans the image, and stores the image in its Document Management library.  Worktribe then processes the invoice image to automatically extract information such as the invoice date, invoice number, purchase order, net amount, gross amount, VAT rate and amount.  It records these fields along with the scanned image in the document library and makes them immediately available within Worktribe Search.  Authorised users can then instantly locate invoices by searching on any of these fields.

Procurement Systems Integration

Worktribe integrates with procurement systems such as Proactis to match the scanned invoice to a purchase order record.  Worktribe uses XML web services to receive an approve or a reject message from the procurement system and then acts accordingly.  Approved invoices are processed for payment, while rejected invoices use the Worktribe Workflow system to notify accounts staff that intervention is required.  All current invoices appear on a Worktribe dashboard showing status at a glance.

Financial Systems Integration

Worktribe integrates with financial systems such as Sun Accounting to match the invoice data to accounting records.  Authorised users can search for invoices within Worktribe or within the accounting package, with direct links between the two - for example, from an invoice record in Sun Accounting the user can view the scanned invoice image in Worktribe with a single click.
